PAYROLL MODULE:
- Salary Structure and Components
Bonus & Ex Ratio Calculations:
Bonus applicable for employees with basic salary ≤ ₹21,000.
Ex Ratio applies for basic salary > ₹21,000.
Gratuity: Allow exclusion of specific components for reimbursement. it is only applicable after the 5 years & it should be automatically calculated based on the date of joining.
Customizable HRA: Employees can select HRA at 20% or 40% of basic salary.
Basic Salary Editability:
Fixed monthly basic salary. Also in some cases Not fixed it should be editable.
Editable during appraisals or adjustments.
PF (12%) and HRA: Remain fixed.
Payslip Preference: Checkbox for employees to opt in/out of receiving payment slips. - Require CTC Report
Detailed Breakdown: The CTC report should include a breakdown of all salary components (basic salary, HRA, allowances, deductions, etc.) with calculations.
Preview Option: A preview option should be available before final submission to ensure accuracy and completeness.
Excel Export: The report should be downloadable in Excel format with all component details.
Editable After Submission: The system should allow edits to the submitted CTC report if required, with proper versioning or change tracking for audit purposes. - Post-Payroll Salary Slip Display
Salary slips will only be visible to employees after payroll processing.
Demonstrated the current payroll cycle in the ERP system.
Presented the HR mobile application with features for attendance, leave management, expenses, and salary slips. - Salary component Reimbursement
Key Components:
Bus Allowance:
Calculated as No. of Working Days × Fare.
Data will be imported via an Excel sheet into the system.
Allowance will appear in the salary slip and can be fixed or editable as required.
Option to deduct from the salary if necessary.
Canteen Allowance:
Deduction based on biometric punch-ins at the canteen location.
Advanced Payments:
Deduct advanced amounts from the current month’s salary automatically.
Fine Deduction:
Fields for fines (e.g., smoking violations) will be added to the system for specific deductions.
GLWF (Gujarat Labour Welfare Fund):
Deduct ₹6/month in July and December as per Gujarat state regulations.
Death Benevolent Fund:
Deduction will be included as a separate component in the payroll system.
All components to support Excel imports and automatic calculations..
5. Loan Module:
Loan Categories:
Loans will be categorized by purpose, including medical, vehicle, and marriage loans.
Eligibility Criteria:
Eligibility will be based on employee salary and tenure in the organization.
Automatic Deductions:
Loan repayment amounts, installments, and interest rates will be calculated automatically and deducted from the salary.
Deduction Limits:
The system will ensure that total deductions (including loans) do not exceed employee earnings, preventing negative salary balances.
